The Company Program Schedule shifts our model from ad-hoc campaigns to a single centralized yearly company schedule.
This program includes the training and phishing simulations the company will assign to its employees monthly.
How to Create a Company Program Schedule
To create a new schedule, simply head to the company portal and select "Schedule" from the sidebar menu. You will see a list of months from January to December, allowing you to plan content for the entire year if necessary.
Clicking on each month or the "Edit Content" link will take you to a detailed page where you can set up training assets and templates for a specific month. You can also specify the audience for the content, choosing between Everyone or selecting various user categories/departments (similar to how it works from the New Users Onboarding workflow).
Once you have defined the content, click on Save and move on to the next month.
After adding content for all desired months, go to the schedule view and click on "Run" to initiate the program. It will then automatically assign the content for the current month based on your Schedule Delivery Settings.
Different Month Statuses
Each month could present up to 3 different statuses, allowing you to easily track the progress of your company program schedule:
- Scheduled: This status indicates that the content for the month has been successfully set up and is ready for deployment. At this stage, the content is not locked in so it will automatically be updated according to your Schedule Delivery Settings once the month arrives. It is important to note that any modifications to the roster or categories will affect the months within this status, but they will be locked in once the month has started, ensuring that all participants receive the same training material.
- In Progress: When the month has started and the content is actively being delivered to employees, the status will change to "In Progress." This status reflects that the training sessions or phishing simulations are ongoing, and participants should be engaged in completing the assigned tasks. During this phase, the content cannot be modified unless you pause the Company Program.
- Completed: Once all the training assets and simulations for the month have been successfully delivered and the participants have finished their assigned tasks, the status will change to "Completed." This status means that the scheduled content has been fully executed, and it is time to analyze the outcomes. A month will be marked as "Completed" if all the content has already been sent or the upcoming month has started.
Understanding these statuses helps you manage the training program effectively, ensuring timely delivery and participation, while also providing a clear overview of each month's progress.
✨ Important Details:
- Ensure you schedule your program with anteriority because once the month starts running, the content cannot be modified; it can only be removed.
- If the current month is already underway and a category's user count increases for example: from 15 to 20, the additional 5 users will not be included in the ongoing month. Instead, they will be reflected in subsequent months only.
- Keep in mind: There's not a year distinction in the program, so if you add content to a month that has already passed, then the app will understand that it corresponds to the next year.
- If a program is paused, the content scheduled during the time it gets paused might not be delivered.
- Each month can contain up to 20 simulation templates and/or 20 training assets, and it can be targeted to the entire population or specific categories.
- The sending strategy for Simulation templates is "Random" by default, meaning that 1 template is sent to each user at any day/hour of the month. Days and hours can be customized from the Schedule Delivery Settings.
- Training assets are assigned on the 1st of each month by default and they share the same due period. (Assignment date can be changed from the Schedule Delivery Settings.
